Previously, there was a formal report update every 4 to 12 hours. This meant managers would receive updates too late or have to make multiple calls / emails. These delays would inevitably disrupt site activities. LetsBuild has changed that, providing live real-time reporting that can be accessed at any time that suits.
“We’re not phoning out, we are not using WhatsApp groups, we’re not sending emails. The programme is just live, it’s there and all data from the site is captured,” says Matt Ghinn.
LetsBuild is also able to generate a report instantly from the collated data, including progress updates, photos, messages and problems that have been reported and/or communicated by teams, as well as information on where delays may have occurred.
“Our programme is updated at site level. That means that the operative supervisor provides us the information from site. So we get photos; we get updates. This allows the team to take more ownership and provides us with visibility across the whole site team,” says Matt Ghinn.
HusCompagniet (10% cost saving by pushing down responsibility to on-site people)
LetsBuild brings efficiency gains through predictability
As a volume housebuilder, HusCompagniet has made a strategic decision to improve efficiency by standardising processes and increasing repeatability. In that way, they have created a well-oiled machine that delivers 6 to 7 houses daily. LetsBuild has helped to identify gaps in their work processes and drive process improvements.
“In the long run, we are estimating that we will save between 5 and 10 percent of the cost. So it’s substantial. We hope we can harvest that in the future,” says Morten Chrone.
With instant data capture from construction sites, HusCompagniet has a better understanding of what happens at the site level. By using LetsBuild, they have managed to push the responsibility for information sharing and reporting to the workers on site.
“When we use LetsBuild, it’s almost like we’re pushing the responsibility down to the people on site. So now, suddenly they are taking more responsibility, because they know if they don’t notify the next in line, the other team are going to turn up and waste their time. Now suddenly they feel more like a community, like they’re colleagues,” ends Morten Chrone.
Having subcontractors arriving at the right time is very important to Provivienda as they develop multiple projects at a time. But without a live schedule, it gets difficult to coordinate with multiple teams.
“If your programme is not updated frequently, problems on site escalate because they have not been communicated to the right person. In most cases, people on site are not the right kind of people to resolve the problem. By the time the issue is communicated to the right person, it is too late and we are dealing with delays and downtime,” says Federico Salazar, CEO at Grupo Provivienda.
Another issue Provivienda faced before the implementation of LetsBuild is labour scalability.
Subcontractors would often show up on site without knowing the number of people needed to get the job done.
“So now with LetsBuild, we are able to visualise everything and see exactly the state of the project at every moment. The relevant person is alerted about the problem and has a deadline to get the job done. We are also able to communicate and collaborate with multiple subcontractors, instantly,” says Federico Salazar.
LetsBuild reduces cost and time overruns
With the implementation of LetsBuild, Provivienda has seen immediate results.
“We believe we can save 10-15 percent in production cost. There are many benefits in not having to have inventory on hand and not having those downtimes that we currently face,” says Raul Hernandez.
On a similar topic, Federico Salazar discusses the time benefits LetsBuild brings them.
“Before LetsBuild, it was taking us 330 days to construct a house. It was due to the downtime between activities. Now the same house is built in 60 days. The thing that changed it was a live programme that helped us avoid downtime between activities,”
Before LetsBuild, Martin not only had to deal with the effects of delays, which could extend to several days, but he also did not have a tool to show him and his team the way to benefit from efficiency gains. Martin paints the following picture to explain his situation.
“For example, a team may arrive on the Monday and expect to be finished with a task on the Friday, but gets delayed one day. This scenario tends to actually cost more than a day, since everyone else has to adjust their plans to it. And if a team finishes early and nobody knows about it, you cannot gain economically from it. Finishing quicker always makes money and that is how LetsBuild helps us.”
It is essential to work with updated programmes and make decisions from accurate progress reports. And that is what Jerram Falkus were looking for in LetsBuild.
“I knew LetsBuild was a real game changer for us as soon as I started,” concludes Martin Hickey.

Because LetsBuild takes information directly from the job site, from the workers themselves, this eliminates any delay, miscommunication or middlemen when it comes to task and progress updates. The data is brought straight from field, and into LetsBuild’s live schedule—which is being updated with progress as the workers report on it. This way the data you rely on to make important decisions is always clear and fresh.
